Cancellations and missed appointment policy

Appointments

As we endeavour to run to time (a doctor on time? I know right?) we run on an appointment only basis.

We understand that you can’t plan when you feel unwell, and for that purpose we do keep appointments reserved until the morning of each day so people can book in as necessary, but we don’t operate a walk in structure.

To make things easier, we encourage people to book through the website using HotDoc, or using the HotDoc app which shows all available appointment times.

If there isn’t a suitable time or you require urgent medical attention please call our reception team who will endeavour to accommodate you.

Cancellations

We understand that sometimes you can’t attend even if you had every intention to. In order for us to make a cancelled appointment available to another patient we ask that you cancel at least 2 hours before the start of your appointment time.

If you are unable to and need to cancel within this time, a fee equivalent to your appointment length will be charged and will need to be settled before booking any further appointments.

Missed appointments

Unless you have opted not to receive any form of notifications from us, you will receive a reminder SMS or email the day before your appointment. This works as both a reminder that you have an upcoming appointment, and also a chance to confirm that appointment. If you reply yes, it will update on our software that you are definitely attending.

If you reply no, it will cancel your appointment and make it available to anyone waiting.

If you however do confirm, or don’t reply to a confirmation message and miss your appointment, you will be charged a missed appointment fee equivalent to the length of your booking, and this will need to be settled prior to being able to make any further bookings.
